Operations and Projects Administrator (In Education)

Salary from £27,252 to £31,035 per annum

As the Operations and Project Administrator you will be responsible for project support,

co-ordination of procurement and recruitment, administration of budgets, committee servicing, and implementation and development of operational processes.

You will be working collaboratively to support the Directorate, liaising with the Strategic Programme Management Office providing project support. This would include:

  • Planning, allocation and monitoring of tasks
  • Preparation and delivery of formal and informal reports on progress to the ITS Senior Management Team.
  • Co-ordination of staff testing operations prior to the release of new functionality to ensure full viability.
  • Support project post-implementation reviews and prepare reports on lessons learned and areas of risk.
  • Maintaining and updating relevant user documentation, providing staff training on new functionality where appropriate.
  • Handle incoming and outgoing mail, calls, and other inquiries for ITS, including highly sensitive and confidential information.
  • Draft and disseminate departmental internal communications.
  • Support the production of key reports to enable and enhance the Senior Management Team decision- making. Plan and prepare management information reports, compiling complex information from a number of sources to present clear data for management.
  • Take responsibility for and maintain sections of the departments’ web content as directed by the Senior Management Team.
  • File information and documents electronically and in hardcopy where required, maintaining accessibility and organisation of information to enable staff to access information when required.

The Operations and Projects Administrator will have the following experience:

  • Experience of purchasing and supporting procurement activities
  • Experience of managing budgets
  • Experience of using purchasing and financial reporting systems
  • Experience of supporting and/or co-ordinating small projects in line with a project management methodology such as Agile or PRINCE2
  • Experience of co-ordinating and supporting recruitment activities
  • Experience of handling private, confidential, and sensitive records
  • Experience of servicing meetings and committees
  • Experience of report writing including collating data from various systems
  • Experience of editing web content using a content management system
  • Proficient in the use of Microsoft Excel with knowledge of mathematical, logical, statistical, and financial functions

You will have good knowledge of complex administrative processes including monitoring the outcome of processes, supporting departmental budget management and purchasing processes.
